How to Add Notes to Messages in TalkyTo Business

Message Notes let your team attach context directly to any incoming or outgoing message — a customer's order number, a follow-up reminder, or a quick handover note for a teammate. Notes sync across the entire organization, so anyone with access sees the same context the moment they open the message. Note: Notes added in TalkyTo Business appear in the TalkyTo App for all members of the organization, and vice versa. Editing a note from one place updates it everywhere. Prerequisites - An active TalkyTo Business account with at least one organization member - Permission to view the messages you want to annotate Step 2 — Open the Notes page 1. Go to** Service Accounts → select Service Account→ Messages tab** 2. The notes page displays existing notes (if any), along with their author and timestamp. Step 3 — Add a note via the Talkyto Business dashboard 1. Type your note in the input field. 2. Click Add note to attach it to the message. Important: Notes are organization-wide. Anyone in your organization can read or edit any note. Avoid storing sensitive personal data (e.g. credit card numbers, passwords) in notes. How to add notes from the Talkyto App Step 1 — Open the conversation 1. Open the TalkyTo App. 2. Tap Messages in the bottom navigation. 3. Open the conversation that contains the message you want to annotate. Step 2 — press the message 1. Find the message you want to annotate in the chat. 2. Press the message to enter message details. 3. The Notes page opens automatically. Step 3 — Write and save your note 1. Press Add Note button. 2. Enter your note and press check mark. 3. How to View Message Logs in TalkyTo Business

Message Logs give admins full visibility into every SMS and MMS that flows through your organization — both incoming and outgoing. Use them to audit conversations, track delivery, monitor cost, and troubleshoot delivery issues across service accounts, devices, and phone numbers. Note: Message logging is available on TalkyTo Business and is enabled automatically for all messages sent or received through your connected Twilio numbers. Historical messages from before v8.4.1 will not appear in the logs. Prerequisites - An active TalkyTo Business account - Admin access to the organization - At least one connected Twilio number actively sending or receiving messages Where to find Message Logs You can access Message Logs from three different places, depending on the level of detail you need. Step 1 — View by Service Account Use this view when you want to see all messages tied to a specific Twilio (sub)account. 1. In TalkyTo Business, go to Service Accounts → select a service account. 2. Open the Message Logs tab. 3. Browse the list of all messages routed through that service account. Breadcrumb path: Service Accounts → Service Account → Message Logs Step 2 — View by Device Use this view when you want to see what a specific user/device sent or received. 1. Go to Devices → select a device. 2. Open the Message Logs tab. 3. Review every message sent or received by that device. Breadcrumb path: Devices → Device → Message Logs What's in a log entry? Each entry includes: - Direction — Incoming or Outgoing - Contact number — The other party's phone number - Date & time — Timestamp of the message - Delivery status — Delivered, Failed, Queued, Undelivered, etc. (mirrors Twilio's MessageStatus) - Cost — Per-message charge from Twilio - Type — SMS or MMS Important: Cost and delivery status are pulled directly from Twilio via status callback webhooks. If a message is stuck in Queued or Sent for too long, check the Twilio Console for that number's webhook configuration. Troubleshooting - No logs appearing for a number? Confirm the number is assigned to an active service account and that messaging is enabled in Twilio for that number. - MMS shows but media is missing? Additional Services Configuration – Talkyto Business Introduction The Additional Services feature in Talkyto Business allows administrators to configure Voice and Messaging service options for each phone number inside a Service Account. This update brings the Business platform in line with the configuration capabilities already available in the Talkyto mobile app. 1. Accessing Additional Services in Talkyto Business Additional Services can be configured at the phone-number level inside any Service Account. How to access Additional Services 1. Open Talkyto Business. 2. Navigate to Service Accounts. 3. Select the Service Account you want to manage. 4. Under Phone Numbers, click the Settings (three dots) next to the number. 5. Choose Voice Additional Services or Messaging Additional Services. 2. Managing Additional Services (Voice & Messaging) Both Voice Additional Services and Messaging Additional Services share the same interface and functionality. Within either section, Business Admins can: - View the full list of existing additional services - Add new services - Edit existing service configurations - Delete services when no longer needed This unified design ensures consistent management and complete flexibility for both voice and messaging behaviors on each phone number. Call Logs – Talkyto Business Introduction The latest update introduces the ability to view Call Logs directly in Talkyto Business. This allows Business Admins to access recent call activity for every phone number inside a Service Account, without needing to use the mobile app. per-phone-number 1. Accessing Call Logs in Talkyto Business Call Logs are available on a per-phone-number basis within each Service Account. How to access Call Logs 1. Open Talkyto Business. 2. Go to Service Accounts. 3. Select the Service Account you want to view. 4. Navigate to Phone Numbers 5. Under the Call Logs column, click View for the desired phone number. 2. Viewing Recent Call Logs After selecting View, you will see a list of the most recent calls made or received by that phone number. The Call Logs list displays key information, such as: - Call Flow - Call direction (inbound/outbound) - Status - Duration - Number of calls - Timestamp 3. Viewing Detailed Call Information Clicking on any call entry opens a detailed view. Here, you can see expanded call information, including additional metadata and technical details useful for troubleshooting or auditing. Contacts Notes – How to Add, View, and Manage Notes in Talkyto Business Introduction The Contacts Notes feature in Talkyto Business allows Business Admins and mobile app users to store important information directly inside each contact. Notes are saved at the organization level and are synchronized between Talkyto Business and the Talkyto mobile app. 1. Viewing and Managing Notes in Talkyto Business Talkyto Business now includes a Notes section for every contact inside any Contact List. How to access notes 1. Open Talkyto Business. 2. Go to Contact Lists. 3. Select the desired list. 4. Locate the contact you want to manage. 5. Click Actions (three dots) → Notes. Available actions in Business Inside the Notes panel, Business Admins can: - View the full notes history. - Add new notes. - Edit existing notes. - Delete notes. 2. Viewing and Editing Notes in the Talkyto Mobile App On mobile, users can quickly see the latest note assigned to a contact. How to access notes in the app 1. Open the Talkyto app. 2. Go to Calls. 3. Tap Contacts in the top-right corner. 4. Open the desired Contact List. 5. Select the contact. The app shows: - Only the latest note - The timestamp of the latest update - An option to edit the note or add a new one, depending on permissions Summary - Notes can be created and managed in Talkyto Business. - The mobile app displays the latest note with timestamp and allows updates. - Business Admins can view full history, add, edit, and delete notes. - Notes are always synced across the platform.

How to Create Your Business Account for Talkyto Business In order to manage multiple devices for different users, we are happy to announce that your life will be easier with our new platform - Talkyto Business. Follow the next steps to set up your business account correctly and start managing your employees! Step 1 - Go to the Talkyto Business Page - Visit: https://app.talkyto.io/onboarding. - Click on the **“Business” **button. Step 2 - Onboarding part - We want to make your experience as smooth as possible - Please fill out our questionnaire Step 3 - Sign in using your email or Google account - Sign in with your email or Google account - Verify your email address (check your spam folder if it is not in your inbox) - Click **“**I have verified my email." Step 4 - Create your organization - Click on "Create new organization" - Set the name of your organization - Check if your new organization is created, and click on it Step 5 - Subscribe via Stripe - The first step after you enter your organization is to purchase your subscription. Step 6 - Enter your Twilio accounts (you may enter as many as you want) - First thing is to enter your Twilio account details - Then press on it for more details - Check that your configuration is all set - Check the phone numbers you want to activate and configure them with Talkyto (here you can also check your phone numbers' capabilities) - Adjust your voicemail settings if needed. Step 7 - Invite your employees' devices to your organization - Send an invite to your employee's device - You can always monitor invites via the "Invites" page Step 8 - Adjust the Twilio account for a certain device along with specified phone numbers - Add the previously added Twilio account to your employee's device - Select the phone number you want for him (multiple choice is allowed) - You can divide your employees into groups to have a better overview Your employees are now ready to start receiving and sending calls, SMS, and MMS, and your business account is officially created!
